Visa & Invitation Letter


Visitors from non-EU Countries must possess a passport valid for at least a 3 month stay. Participants requiring a visa should apply immediately to a consular office or diplomatic mission of the Czech Republic in their country in order to avoid a delayed arrival to the symposium. Please note that the visa application procedure can take up to two months. It is not possible to obtain a visa at the Prague Airport.

Arrangements have been made to assist attendees by processing the official invitation on request.
Countries requiring a visa to enter the Czech Republic are advised to check with the consular office of the Czech Republic or diplomatic missions in their country for specific visa application requirements.

Important: Required information to obtain visas must be sent in with Invitation letter requests BEFORE 15 AUGUST 2012 to ensure application process by the Czech Immigration police.

 

1. Please find the address of the Czech Embassy in your country on the following website to obtain information regarding the visa policy for your country: www.mzv.cz

2. Contact the embassy and ask which one of the following two invitation documents are required to issue your visa:

  • Official Invitation by EADV Office or LOC Chair

Requests to obtain an Official invitation letters from EADV or the LOC Chair should be submitted at least three months in advance.

  • Official Invitation by the Foreigners’ Department of the Czech Police

Delegates from countries where the Czech Embassy requires Official Invitation by the Foreigners´ Department of the Czech Police should submit their request at least 3 months before the congress dates.

To send you the requested Official Invitation by the Czech Foreign Police we need an official declaration from your company/institute confirming that they will guarantee your stay in the Czech Republic.

Below please find a sample of a Declaration letter which shall be completed and submitted on an official letterhead paper of the respective company/institute including a company stamp and signed by a director/supervisor of the company.

Unless we receive this letter from your company, we are not able to file for the immigration papers/Official Invitation for you.
Once we obtain this Invitation from the Immigration police we are responsible for status of your stay in the Czech Republic that is why we need such a guarantee from your company.


Example of the Declaration letter:

"<COMPANY NAME> herewith commits to cover all the expenses (accommodation, travel expenses, health care) originating during the stay of the invited person <FIRST NAME, FAMILY NAME, PASSPORT NO., DATE OF BIRTH, ARRIVAL DATE, DEPARTURE DATE> in the Czech Republic, beginning with the entry and terminating by the departure of the invited person from the Czech Republic.

In case of expatriation of the invited person from the territory of the Czech Republic, our company commits to reimburse all the costs connected to the expatriation to the respective institutions.

I confirm this by my signature that all the information mentioned in this confirmation letter is correct.
