Accommodation
Rooms at special conference rates are being held in hotels of different categories. A number of hotels have been pre-booked for 21st EADV Congress. Rooms will be allocated on a first come, first served basis.

The rates are per room, per night, including breakfast, local VAT and service charges. For further information please contact the official Housing Agent.
How to book a room
Participants are recommended to reserve accommodation by 25 June 2012. After this deadline requests will be accepted, however, hotels rooms are subject to availability and cannot be guaranteed; when making the reservation, please also indicate an alternative hotel/second choice hotel in case your preferred one is fully booked.
Reservation including minimal 1 night deposit must be received until 25 June 2012.
Cancellation / Change of reservation:
Cancellation or changes must be notified in writing (email or fax) to CZECH-IN. Cancellation or changes made by phone cannot be accepted.
Please do not contact the hotels directly as reservations are held by CZECH-IN.
In case of later arrival other than reserved please inform CZECH-IN as well in order to guarantee the room.
Cancellation will be charged according to the cancellation conditions below:
For hotel reservation cancelled before 25 June 2012 full deposit will be refunded less EUR 25,- (handling fee).
After June 25, 2012 deposit of 1 night will be charged and no refund will be made.
After July 25, 2012 all nights as reserved will be charged and no refund will be made (CZECH-IN holds the rights to charge your credit card for the all nights booked OR not to refund the full pre-payment).
Payment conditions:
1 night deposit will be required to guarantee the booking (not-refundable after 25 June 2012). All bookings must be guaranteed by a valid credit card (VISA, EC/MC, AMEX cards are accepted). Expiration of the card must exceed December 2012. CZECH-IN holds the rights to pass your credit card details to the respective hotel. Final bill (rest of nights and extras) must be settled directly with the hotel upon departure.
Full pre-payment can be made by a credit card, a bank transfer payable to the account of CZECH-IN (1 night is not refundable after 25 June 2012 and the full prepayment will be charged in case of cancellation after 22 July 2012). Bank transfers will be accepted until 22 July 2012 only. Please include the PRN (Personal Registration Number) as the payment identification/variable symbol - this is essential for the payment identification. A full payment free of any bank charges must be received by CZECH-IN. All extras must be settled directly with the hotel upon departure.

Credit Card Payment
With reference to the worldwide general terms please be aware that your credit card will be charged in currency valid in country of the origin, i.e. Czech Crowns (CZK) and hereinafter converted back to the currency of your account which may result in slightly higher total charge than stated in EUR.
Confirmation of reservation / hotel voucher and final bill
After completing the hotel booking, participant will receive a system notification that reservation request was received.
Confirmation of the hotel booking (a hotel voucher) will be issued only after the deposit/prepayment is received and will be sent to the participant by email together with an invoice. Hotel voucher should be presented to the hotel reception during check-in.
Final bill will be issued by CZECH-IN (for 1 night deposit and full prepayment) and the respective hotel (for the rest of nights and extras). Most of the hotels will issue the bill in local currency (Czech Crowns) according to the daily exchange rate stated by the Czech National Bank.
Check-in/Check-out
Check-in varies from noon until 2 pm. Early check-in can be requested, however cannot be guaranteed; the room is subject to the room availability on the day of arrival; Check-out is generally at noon (in some hotels as of 10 am). Late check-out is also subject to the room availability and some hotels may charge a day rate.

Responsibility
The participant acknowledges that he/she has no right to lodge damage claims against the organisers should the holding of the Congress be hindered or prevented by unexpected political or economic events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate programme changes. With registration, the participant accepts this proviso.
